Getting started with your RomandaMedia engagement

Welcome. This article covers what to expect in the first few weeks so you know what is happening, who to ask, and what we need from you.

The shape of an engagement


Most engagements move through the same three stages.

1. The audit. Nearly every engagement starts with a Growth Systems Audit. We look at marketing, sales, and service as one connected engine rather than auditing a single channel, because the thing costing you revenue is usually a handoff between two of them rather than any one of them individually. You keep the findings either way.

2. Onboarding and implementation. Once we agree on scope, we build. What that involves depends entirely on what the audit found: a HubSpot implementation or re-architecture, a data and reporting foundation, paid media setup, a sales enablement system, or some combination. Your scope of work is the authoritative list, not this article.

3. Ongoing work. Most clients continue on a retainer once the build is live, because a revenue engine needs maintaining and compounding rather than installing once. Some graduate off it entirely, and we treat that as a success rather than churn.

Who you will be working with


  • Roman Miranda, founder and solutions architect. Leads the audit, designs the architecture, and has final approval on your engagement.

  • AJ Anioay, admin, service, and operations.

You will not be handed to a different team after signing. The person who designed your architecture stays on your engagement.

How we work together


HubSpot is the system of record. Your CRM, reporting, and most deliverables live in your own HubSpot portal, which means you own everything we build. We do not hold your data hostage in our tools.

Delivery is tracked as a project. Work is broken into tasks with owners, so you can see what is in flight rather than wondering what we are doing.

We work natively wherever possible. When HubSpot has a built-in way to do something, we use it instead of building custom. Custom objects and custom code are a last resort, not a default, because everything custom is something you have to maintain forever.

What we need from you


The engagements that go fastest are the ones where these arrive early.

  1. Access. Admin access to your HubSpot portal, plus whichever ad accounts, analytics, or source systems are in scope. We will send a specific list; it is never "everything".
  2. A decision-maker in the room. Not for every call, but for the ones where we are choosing between architectures. A decision deferred a week costs more than the meeting would have.
  3. Your real process, not the tidy version. The audit is more useful when we see how your team actually sells and serves today, including the spreadsheets and the workarounds. Those are the findings.
  4. A named point of contact. One person on your side who can answer questions and chase internal approvals.

Common questions


Do we have to move to HubSpot? No. If you have adopted another platform and it fits your business, the useful work is usually consolidating your first-party data into the right system for you, rather than migrating for its own sake.

Who owns what we build? You do. It lives in your portal, under your account.

What if the audit says you are not the right fit for us? Then we will tell you. That is a normal outcome and it happens.
